Let's talk about one of the biggest game-changers for any business owner: Effective Delegation. As an Operations Director and business manager for small businesses, I have witnessed firsthand the transformative power of effective delegation in my small business. When done right, it can empower your team, drive productivity, and propel your business toward greater success. In this article, I'll share three key clues that you are delegating effectively. Recognizing these signs can optimize your delegation strategies, unlock your team's full potential, and achieve remarkable outcomes.


The inspiration for this topic came when I was delegating tasks in a project to one of my Virtual Assistants. I was feeling a tangible discomfort as I thought through which things to delegate to her and what I needed to provide to set her up for success. Suddenly I realized: this discomfort is actually a sign I'm doing it right! As a small business owner, you may have employees, contractors, or both. These apply to all types of team members. Let's dive in!


First Clue: You feel the delicate tension of balancing your small business team's capacity & responsibilities.

One of the first clues that you are delegating effectively is feeling a healthy tension between managing your team's capacity and the work that needs to be completed. I won't lie - this definitely feels uncomfortable at times. Usually that's a sign that you care deeply about doing things RIGHT.


In my business, it is a juggling act of hearing what my client needs, prioritizing what's most important, being aware of the hours available in our package, and keeping in mind my VA's capacity.

When I am mindful of my team's capacity and think critically to prioritize properly, work is assigned in a way that ensures on-time execution.


Aside from ensuring the work is completed well and on time, a well-balanced workload enhances productivity and reduces the risk of burnout, leading to greater job satisfaction and higher-quality outcomes. This leads to higher retention rates on your team!


Second Clue: You do your best to align tasks with skill sets.

Effective delegation involves considering whether the work aligns with the skill set of the person to whom you are delegating. Matching tasks to individual strengths increases the chances of successful completion and fosters a sense of accomplishment and growth within your small business team. It is crucial to have a deep understanding of your team members' abilities and leverage them appropriately. By assigning tasks that align with their skill sets, you tap into their expertise and unlock their full potential, resulting in improved efficiency and effectiveness.

Effective delegation on a team involves understanding the strengths, limitations, and workload of your team members and ensures you don't overwhelm or underutilize your employees or contractors.

Note: If you're not sure what your team members' strengths and weaknesses are, you may consider using a tool like Gallup Strengths Finder or the Working Genius model. Facilitating these sessions for teams is one of the most rewarding parts of my work; the rewards are innumerable!


Third Clue: You have and use a comprehensive management system.

Delegation cannot be successful without the right systems in place. A key clue that you are delegating effectively is having a system that ensures your team members have access to everything they need to complete their assigned tasks. This includes providing clear communication pathways and resources. Clear and consistent communication is vital for conveying expectations, clarifying doubts, and addressing challenges promptly. By establishing a communication framework and providing necessary resources, you empower your team to accomplish their delegated responsibilities with confidence and accuracy.
